Host or On-Site Contact
The host or pre-established on-site contact person, who is at least twenty-one years of age, must be present for the entire event. Harrah's reserves the right to end any event that may disturb or interrupt another function.
Food & Beverage
The Health Department and state beverage regulations do not permit Harrah's to allow food or beverage, alcoholic or otherwise, to be brought into a public meeting place from an outside source by the patron or attendees. No food or beverage shall be removed from the property. Applicable service charge and tax will be added to all food and beverage purchases. Any group requesting tax exemption must submit their Certificate of Exemption prior to the event. Prices are subject to change. All prices are subject to 20% service fee plus state tax. For a choice of two entrées add $2 per person. For a choice of three entrées add $3.50 per person.
Guarantees & Cancellations
Final menu selections are to be submitted thirty days prior to your event to ensure availability of menu items. A guaranteed number is required four business days prior to your event. This guarantee is the minimum your group will be charged for the event. If a guarantee number is not received by your sales representative, your initial estimated number will serve as your guarantee. We will prepare to serve 5% over your guaranteed number for groups smaller than 300. We will prepare to serve 3% over for groups larger than 300. Should the guaranteed number be raised on the day of the event, the new guarantee will serve as the room set number. Upon receipt of your guarantee, we will set the room using similar guidelines. Additional seating beyond these amounts will result in a fee of $10 per place setting.
Banquet & Meeting Rooms
As other groups may be utilizing the same room prior to or following your function, please adhere to times agreed upon. Should your scheduled event time change, please contact your sales representative. Every effort will be made to accommodate these changes. Normal access to your event room is two hours prior. Additional access, dependent upon availability, will result in a fee to be determined by your sales representative. Harrah's reserves the right to change room location to accommodate all business levels. Function rooms are assigned by the number of people anticipated. Should your group size increase or decrease, please contact the catering office so we may make necessary room accommodations. There will be a $100 fee added for any room set-up changes made on the day of the event.
Decorations, such as mirrors and votive candles can be made readily available with advanced notice at a nominal charge. Tacking or taping of any poster, flyers, written material or directional signage to walls or doors without prior written consent from the property is strictly prohibited. A minimum fee of $250 will be assessed for any damage.
Security & Damage Liability
Harrah's does not assume responsibility for the damage or loss of any merchandise or articles left on the property prior to or following your event. Arrangements for security of exhibits, merchandise or displays may be made prior to the planned event. Harrah's reserves the right to require in-house security for selected groups at the group's expense. The customer is financially responsible for any damage, loss or liability incurred by the property by any of the guests or any persons or organizations contracted by the customer to provide any service or goods before, during or following the event.
Audio Visual & Staging
A wide selection of audio visual equipment and high speed internet access is available on a rental basis through your sales representative. Outside audio visual vendors must be approved by your sales representative and a minimum charge of $200 per ballroom will be charged per room, per day. A limited amount of risers and staging is available. Additional staging can be made available on a rental basis. Trade or vendor shows require an official show decorator. Your sales representative can refer local companies. Up to three skirted tables are included in the full meeting room rental of each room. Additional skirting needs are available on a rental basis and must be arranged forty-eight hours prior to the event.
We will be pleased to assist you with the acceptance and storage of your conference materials. Your materials may arrive anytime during the week prior to your event, however arrangements must be made in advance. Upon your departure, all items must be removed from the premises or special arrangements must be approved by your sales representative. Exhibitors are responsible for all materials needed for shipping along with appropriate forms and paperwork, as well as contacting the shipping company. Harrah's will ensure your labeled items are taken to our warehouse for pick-up. Any materials remaining after scheduled move-out will be considered refuse.
Prices for specialized labor (security guards, electricians, etc.) are available from your sales representative.
Musicians, orchestras and DJs, etc. will be booked by the person in charge of the event and will be their sole responsibility. Your sales representative must be notified in advance of entertainment being provided. Harrah's reserves the right to control volume and content of all entertainment. In order to accommodate the needs of all of our guests, bands and other forms of live entertainment may be restricted based on occupancy levels. The use of any special effects or equipment must be approved by Harrah's Director of Food and Beverage.
Bar Service Options
A host bar is a bar sponsored and paid for by the host on a per drink basis. Continuous host bars for twenty-five guests or more must guarantee $300 in beverage revenue, per bartender, or a $100 service fee per bartender will be charged.
Combination Host/Cash or Cash Bar
Combination host/cash, or cash bars must guarantee $300 in beverage revenue, per bartender, or a $100 service fee per bartender will be charged. Cocktail servers and food butlers are available at a charge of $25 per hour, per server. Any guest that appears under the age of thirty-five must supply two forms of ID (one must be a picture ID) in order to consume alcoholic beverages. Any guest consuming alcohol in the Convention Center area must have a valid form of identification with them at all times.
All groups must submit an advance deposit or guaranteed form of payment.
Payment in full is required four days prior to the event. All charges discussed before the event are estimates based on the guaranteed number of attendees. Host bars, miscellaneous charges, changes and/or additions are not included in the estimate and must be paid for at the conclusion of the event.
